Breezee AI Limited (“Breezee AI”, “we”, “us”, “our”) is committed to protecting your personal data and respecting your privacy. This Privacy Policy explains what personal data we collect, why we collect it, how we use it, and your rights under UK data protection law.

This policy applies to visitors to our website at breezee.ai and to customers and prospects who interact with our sAIlsbot AI sales agent platform. It should be read alongside our Data Processing Addendum which governs the processing of personal data we carry out on behalf of our business customers.

1. Who We Are

Breezee AI Limited (Company No. SC857320) is the data controller for personal data collected through our website and our interactions with prospective and existing customers. Our registered office is 10/1 Woodcroft Road, Edinburgh EH10 4FD.

2. Information We Collect

2.1 Website visitors

When you visit our website, we may automatically collect:

technical data such as your IP address, browser type, operating system, and device type;

usage data such as pages visited, time spent on each page, and referring URL; and

cookie data as described in our Cookie Policy.

We collect this data to operate and improve our website. Please see our Cookie Policy for full details.

2.2 When you contact us or sign up

When you fill in a contact form, request a demo, or sign up to join our Beta Programme, we collect:

your name and email address;

your company name and job title;

any other information you choose to provide in your message; and

records of our correspondence with you.

2.3 sAIlsbot Beta customers (dashboard users)

If you are an authorised user of the sAIlsbot dashboard on behalf of your organisation, we process:

your name and email address as dashboard login credentials;

your activity within the dashboard (configuration changes, agent deployments, usage data); and

support and feedback communications you send to us.

In this context, your employer (our customer) is the data controller and Breezee AI processes your data as a data processor under a Data Processing Addendum.

2.4 Prospects interacting with sAIlsbot agents

When a visitor to a Breezee AI customer's website interacts with an sAIlsbot agent, the agent may collect personal data about that visitor (such as name, email address, and conversation content). In that scenario, Breezee AI processes that data as a data processor on behalf of our customer (who is the data controller). That processing is governed by our Data Processing Addendum and the customer's own privacy policy, not this one.

3. How We Use Your Information

We use the personal data we collect for the following purposes:

to provide, operate, and improve our website and the sAIlsbot platform;

to respond to enquiries and provide customer support;

to manage the Beta Programme, including onboarding and communications;

to send you product updates, release notes, and service communications relevant to your account (you can unsubscribe at any time);

to send marketing communications where you have opted in or where we have a legitimate interest and you have not opted out;

to analyse how our website and platform are used so we can improve them;

to comply with our legal and regulatory obligations; and

to train and improve our AI models using data that has been irreversibly anonymised (Anonymised Platform Data) — full details in Section 7.

We rely on the following lawful bases under Article 6 UK GDPR:

Contract: processing necessary to perform our contract with you or to take steps at your request before entering into a contract — for example, managing your Beta account.

Legitimate interests: where our interests (or a third party’s) are not overridden by your rights — for example, analysing website usage, sending service updates to existing customers, and improving our platform.

Consent: where you have given clear consent — for example, optional marketing communications or placing non-essential cookies.

Legal obligation: where processing is necessary to comply with a legal requirement.

5. Sharing Your Information

5.1 Within Breezee AI

Your personal data is shared within Breezee AI only to the extent necessary for our team to operate the platform and respond to you.

5.2 Sub-processors

We use a number of trusted third-party service providers (sub-processors) to help us deliver our services. Each is subject to data processing agreements and is only permitted to process your data for specified purposes:

OpenAI, L.L.C. (USA): powers the large language model capabilities of sAIlsbot. AI training uses only irreversibly anonymised data.

Supabase, Inc. (USA): database hosting, authentication, file storage, and edge function execution.

Vercel, Inc. (USA): frontend application hosting and content delivery.

Langfuse GmbH (Germany, EEA): AI observability and quality monitoring. PII masking is applied before any data is exported.

HubSpot, Inc. (USA): CRM and contact management for prospect and lead data.

Resend, Inc. (USA): transactional email delivery for platform notifications.

Atlassian, Inc. (USA): bug tracking and support ticket management.

5.3 Legal and regulatory disclosure

We may disclose your personal data to law enforcement or regulatory bodies where required by law or court order. We will notify you where legally permitted to do so.

6. International Data Transfers

Several of our sub-processors are based in the United States, which does not benefit from a comprehensive UK adequacy decision. Where we transfer your personal data outside the UK to such sub-processors, we ensure an appropriate transfer safeguard is in place, either:

the International Data Transfer Agreement (IDTA) issued by the Information Commissioner’s Office (ICO); or

the EU Standard Contractual Clauses together with the UK Addendum (version B.1.0).

Transfers to EEA countries (such as Germany, where Langfuse is based) are not restricted transfers under UK law and do not require additional safeguards.

7. AI Training and Anonymised Data

Breezee AI uses conversation data and usage statistics derived from the sAIlsbot platform to train and improve its AI models. Before any such use, the data is irreversibly anonymised — all direct and indirect personal identifiers are removed — so that the resulting dataset cannot reasonably be used to identify any individual.

Anonymised Platform Data of this kind does not constitute personal data under UK GDPR, and its use is not subject to the restrictions in this Privacy Policy. Where Breezee AI processes data on behalf of a customer under a Data Processing Addendum, customer consent for this use is obtained in the principal agreement.

8. How Long We Keep Your Information

Website visitor data: retained for up to 12 months in analytics systems.

Enquiry and contact data: retained for up to 2 years after last contact, or longer if a customer relationship develops.

Customer account data: retained for the duration of the contract and for up to 6 years afterwards for legal and financial record-keeping purposes.

Beta customer data: at the end of the Beta Period, data is exported on request, securely deleted within 30 days, or migrated to a General Availability account at your election.

Marketing data: retained until you unsubscribe or ask us to delete it.

9. Your Rights

Under UK GDPR, you have the following rights in relation to your personal data:

Access: to request a copy of the personal data we hold about you.

Rectification: to ask us to correct inaccurate or incomplete data.

Erasure: to ask us to delete your data in certain circumstances.

Restriction: to ask us to restrict processing in certain circumstances.

Portability: to receive your data in a structured, machine-readable format.

Object: to object to processing based on legitimate interests or for direct marketing.

Withdraw consent: where processing is based on consent, to withdraw it at any time.

To exercise any of these rights, please contact us at privacy@breezee.ai. We will respond within one calendar month. You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO) at any time.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or in applicable law. When we make material changes, we will update the “Last updated” date at the top of this page and, where appropriate, notify you by email. The current version of this policy is always available at breezee.ai/privacy-policy.
